How to Create a Purchase Order From Outstanding Invoices in QuickBooks Online

If you use QuickBooks Online Plus, you can create a purchase order from an outstanding invoice or vendor transaction. QuickBooks Online Essentials and QuickBooks Online Simple Start versions do not offer the purchase order feature; you must have QuickBooks Online Plus. In addition, you must activate the purchase order feature before you can create purchase orders.

Enable Purchase Order

  1. Visit the QuickBooks Online site in your browser and log into your account. Go to the “Company” menu and click the “Preferences” option.
  2. Go to the left column and click “Vendors & Purchases,” followed by “Purchase Orders.”
  3. Click the check box for “Purchase Orders” to enable the purchase order feature. By default, QuickBooks assigns its own numbering system to your purchase orders. However, you can modify the numbering system by clicking the “Use Custom Transaction Numbers” button.
  4. Click the “Save” button to save the purchase order setting.

Create Purchase Order

  1. Go to the QuickBooks Online website and sign in to your user account.
  2. Go to the “Purchase Orders” section of the invoice. Click the “Add Purchase Order” button. You can only create one purchase order per invoice.
  3. Click the “Invoice #” field at the top of the form to enter your own purchase order number. Future purchase orders that you create are labeled in sequential order. This value can be edited on a case-by-case basis by clicking the “Invoice #” field.
  4. Click the “Save” button to complete the purchase order. The outstanding items are added to the Itemize by Product/Service section.
